Adding Properties

Adding a new property

  1. Navigate to Properties in the sidebar
  2. Click Add Property
  3. Enter the property details:
- Address line 1 (required) — Street address - Address line 2 — Building name, flat number, etc. - City / Town (required) - Postcode (required) — Must be a valid UK postcode - Property type — Residential, Commercial, Mixed-use, Land - Tenure — Freehold, Leasehold, or Unknown - Client — Link to an existing client record

Automatic data fetching

After saving, Redbook Assist automatically queries six external data sources for the property address. This typically takes 5-15 seconds. Each source is fetched independently — if one source fails or returns no results, the others continue normally.

You will see a status indicator for each source:

  • Green tick — Data found and loaded
  • Yellow warning — Partial data or potential address mismatch
  • Grey dash — No data found for this address (common for new-builds or rural properties)

Editing properties

Click on any property to view its details. Click Edit to update the address, type, tenure, or client link. Note that changing the address will clear the existing external data — you will need to re-fetch.

Deleting properties

Properties can only be deleted if they have no linked valuations. If valuations exist, you must delete them first. This is a deliberate safeguard to prevent accidental loss of valuation work.

Bulk operations

Currently, properties must be added individually. If you are migrating from another system and need to import a large number of properties, contact us at hello@redbookassist.uk and we can assist with a data migration.
